WEMIS On-line Instructions!

Welcome to WEMIS on-line. Your on-line account has been activated and you are ready to proceed. NOTE: You can not access other employee's information via your account (except for the delinquent list).

Login

  • To access WEMIS On-line using Internet Explorer, Netscape Navigator, etc., go to the following url: http://ext.wsu.edu/wemis/
  • A Login dialog window will be displayed. Enter your domain\username and password. See Login examples below to complete a valid login!

  • Click OK.
  • The next screen is the WEMIS menu. You will now have access to the following index:

Input New Information
Input New Volunteer Information
Edit Existing Information

Email - WEMIS Programmer about SOFTWARE.

We will explore each area in the following sections.

Input New Information

This is where you will enter your new WEMIS information. Select the month and/or year you would like to enter now. When the month & year are correct for the data you need to input, click the Continue button to proceed. Next select your ID, the current year, month and location are displayed. You are now ready to begin entering data.

NOTE: If data for that period already exists, a message will be displayed "A record for that date already exists". Click Return to Main Menu link & select Edit Existing Information or click the Back button on your browser to enter a different date.

  • The New Input screen is displayed. Your ID, location, & date (year/month) are displayed at the top of this screen. Make sure they are correct before proceeding.
  • Under the Contacts heading are multiple sections with a Program pull-down menu (arrow on the right side of field) and several boxes for numbers (Hours, White, Black, etc.).
  • Click the down arrow on the right side of the first Program field. You will see a list of items exactly like the ones you know from the old WEMIS report forms. Highlight the appropriate program area to select. (HINT: If you know the code for the program area you want, press the key for the first number. The first program beginning with that number appears. You can use the up and down arrow keys to find the appropriate program code from there as they are in numeric order.) Fill in the appropriate data for that program area (HINT: Tab moves you from field to field - DO NOT USE THE ENTER KEY to make these moves. <ENTER> is the keystroke for selecting the Submit button.)
  • Continue in this fashion until all of your data is entered for all program areas.
  • Double-check your data and click the Submit button at the top of this form. You have successfully entered new data into your account.
  • The Reset button at the top of this page is used if you want to delete all the data you have entered thus far. This is useful if you inadvertently typed in the incorrect year or month; or used the wrong data. You also have the option of going back to the Main Menu without saving any of the data.

NOTE: If you get a "500 server error" and then click the Back button on your browser, your data will be gone. Unfortunately, there is no alternative at this time. So keep backups of your information or print the form before clicking the Submit button.

Input New Volunteer Information

This form is similar to the Input New Information form; however, the items listed under Program are relevant to the hours for your volunteer(s). The same keystrokes as above are used on this form. Press the Submit button when this form is completed.

Edit Existing Information

  • Your ID, the current year and month, and your location are displayed on this screen. If you want to edit data for a different month and/or year, you can change those values now. When the month & year are correct for the data you need to edit, click the Continue button to proceed.
  • The Edit Record screen is displayed. Your ID, location, & date (year/month) are displayed at the top of this screen. Make sure they are correct before proceeding.
  • Under the Contacts heading are multiple sections with a Program pull-down and several boxes for numbers (Hours, White, Black, etc.) filled in with specific data from previous data entry. At this time, you can change program area and any of the contact hours. Or, you can add program areas & contact hour information by scrolling down until you find a section that is blank. Add your new data in that section.
  • Double-check your data and click the Submit button at the top of the form. You have successfully edited this record.
  • The Reset button at the top of this page is used if you want to delete all the data you have entered thus far. This is useful if you inadvertently typed in the incorrect year or month; or entered the incorrect data. You also have the option of going back to the Main Menu without saving any of the data.

Delete Existing Information

This option can be helpful if you incorrectly enter an entire month of data and want to start over.

  • Select this option from the Main Menu. The next screen is the Delete Existing record screen.
  • Your ID, the current year and month, and your location are displayed on the this screen. If you want to change it to delete a different month and/or year, you can change those values now. When the month & year are correct for the data you need to delete, click the Continue button to go on.
  • You are prompted"Are you sure you want to permanently delete this record?" Respond Yes if you are absolutely sure. Click No if you have any doubts at all.
  • If you click Yes, a message "The WEMIS record have been successfully deleted from the database!" is displayed. You will automatically return to the WEMIS main menu.

Enter POA Summary

This form is similar to the Input New Information form; however, this allows you to provide a summary of programs and total planned hours. Press the Submit button when this form is completed.

View YTD (Year-to-date) Reports

Individual Monthly Records

A table is displayed showing which months you have completed as well as how many contact hours you have to date. This page is suitable for printing.

Individual Summary - Contacts by Project

You can choose to obtain your individual summary or a summary by county (any county in the state). If you want your own summary, leave the Office Location field to Individual Only. If you want a particular county's summary, click the down arrow on the right side of the Office Location field. Select the Office Location you need. Click the Submit button.

A table with totals by project is displayed. If there are no records for that Office Location, you will receive a message "No records matched the reporting criteria!" Use the Back button on your browser to return to the Individual Summary menu or click Return to Main Menu.

Contacts By Program Area

When you select this option from the reports menu, you are sent to a secondary screen where you can select an office location (county, branch, research center, etc.). Select the appropriate office location & press the Submit button.

This report is listed in project number order with the employee's name listed within each project area & the total hours they reported. 

Delinquent Report

You may choose any county office, research center or branch campus (including WSU Pullman) to see which employees are delinquent in completing their WEMIS report. Each employee for that Office Location is listed. An "X" is displayed beneath the month(s) that the employee has completed their WEMIS report form. Interesting reading.....You can be sure the administrators will be reading this report regularly!

State Project Summary by Individual

A table is displayed showing the State totals by project summary for each individual. This page is suitable for printing.

POA Summary by Project

A table is displayed showing the total of planned days for the year for each individual and program. This page is suitable for printing.

Summary

That's the new WEMIS On-line reporting system. It should make your WEMIS report simpler and more efficient. Maintenance of this information is in your hands. An option in the WEMIS On-line allows you to contact the WEMIS coordinator directly -- questions, problems.
